Banquet Event Order (BEO)
The coordination document venues and kitchens run on. Students learn expected versus guaranteed guest counts, the guarantee deadline, room setup, staffing, and dual sign-off.
Class activity: draft the BEO for a 150-guest awards banquet, then compare who each student made responsible for each line. Discuss who pays when attendance comes in under the guarantee.
Run of Show
Minute-by-minute event operations: one owner per row, buffers between segments, and building the timeline backward from fixed points like doors and dinner service.
Class activity: build the run of show for a three-hour gala working backward from a 9:00 pm hard stop. Grade on buffer placement and single ownership per row.
Event Planning Contract
A services agreement covering scope, the retainer, cancellation, force majeure, guest-count thresholds, and a liability cap. The guide article explains every clause in plain language.
Discussion: what does non-refundable retainer language protect that the word deposit does not? Remind students that real contracts get a local attorney review, and this sample is for learning.
Event Proposal
Discovery to pitch. The template restates the client's goals in their own words before showing price, which is the habit that wins work.
Class activity: hand out a one-paragraph client brief and have each student produce the full proposal. Peer-review on whether the goals section sounds like the client or like the planner.
